Personal names (ad ve soyad) occur in corporate documents in signature blocks, certificates of authority and personnel files. A small difference in the spelling of a name may break the identity match at the receiving organisation. This is why the name field is handled as a fixed identity, not as text.
Names are not translated
Personal names are not translated even if they have a meaning. A name is an identity, not a word. This rule has no exceptions.
Transliteration
In moving between different alphabets transliteration is used. It is not translation; the letter equivalent is found. The method stays the same throughout the file.
Letters specific to Turkish
Some Turkish letters find no direct equivalent in other alphabets. In that case the spelling decision is taken in advance. The decision is kept in writing and repeated.
Matching the identity document
The receiving organisation may compare the name with the spelling in the passport or identity document. For this reason the spelling in the official document is relied on. If there is no document, the client is asked.
Consistency across documents
If the same person is spelt differently on different documents, a problem arises. The inconsistency is not removed in translation; it is reported. The decision is the client's.
Middle names
Some persons have more than one first name, and all are written in the document. All the names are kept. They are not abbreviated.
Abbreviation to an initial
On some documents the first name appears only as an initial. This abbreviation is not expanded. The spelling in the document is kept.
Order of the surname
In some cultures the surname is written first. The order is not changed and, if necessary, the fields are labelled. Labelling removes the ambiguity.
Married surname
Different surnames may be found on a person's documents. This difference may rest on a legal change. The situation is noted; no comment is made.
Together with a title
A professional title may stand before or after the name. The title is translated, the name is carried over. The two fields are handled separately.
Academic titles
The equivalents of academic titles differ from country to country. A one-to-one equivalent is not always right. If necessary, an explanation is added.
Use of capitals
On some documents the surname is written entirely in capitals. This spelling has a distinguishing function. The format is kept.
Illegible name
Names written by hand are often illegible. An illegible name is not guessed. The situation is written.
Relationship between signature and name
The name below the signature identifies the signatory. If there is no name, it stays unclear whose signature it is. This gap is indicated.
In personnel lists
Hundreds of names occur in bulk personnel files. Consistency can only be achieved by the list method. The list is created at the start of the job.
Personal data aspect
Names and identity details are personal data and access to them is restricted. These documents are not uploaded to free-of-charge tools. The rule is written in the contract.
Request for anonymisation
In some jobs it may be requested that names be concealed. The request is received in writing and its method is defined. The practice is the same throughout the file.
Delivery check
All personal names are compared against the list and their consistency is verified. Two different spellings of the same person are caught before delivery. This step is not skipped.
