Corporate documents Corporate document

Cross-references

Tracking the references one document makes to another document, and their effect on the integrity of the file.

Corporate documents do not stand alone; an order is tied to a contract, a record to a report, a letter to an earlier letter. These links are established by cross-references (çapraz gönderme). If a link breaks in translation, the document is left meaningless on its own.

The function of the reference

A reference ties the document to another document. Without the link the text is left incomplete. That is why references are tracked.

Identifying details

The reference gives the number and the date of the target document. These two pieces of information determine which document is meant. The two are carried over together.

Document name

The reference may also contain the name of the target document. The name is translated, the number is carried over. The two fields are processed separately.

The framework agreement link

Individual orders are tied to a framework agreement by referring to it. The link determines the terms of the order. The reference is not skipped.

Supplementary protocols

Supplementary protocols refer to the main text. The two documents are read together. The matching of the numbering is checked.

Chain of correspondence

Letters refer to earlier letters, and a chain is formed. The chain shows the flow of events. A broken link is reported.

Reference to reports

Some documents rest on a report and refer to it. The report is a separate document. It appears in the annex list.

Absence of the target document

The document referred to may not be in the file. This gap is reported. The scope is redefined.

Untranslated target

The target document may be outside the scope of the translation. This is explained in the delivery note. The reader thus knows the limit.

Number of references

In documents dense with references the number of links is high. Each link is verified separately. The list method is used.

Mutual references

Two documents may refer to each other. The relationship runs in both directions. Both directions are preserved.

Consistency of dates

The date of the document referred to must be earlier than that of the referring document. The reverse situation stands out. The observation is reported.

Number format

The number of the target document has its own format and is not changed. The format is preserved. The separators are carried over exactly as they are.

Confusion with annex numbers

A cross-reference and an annex number are different things. An annex is part of the document, whereas the target is a separate document. The two are not mixed up.

Contract hierarchy

Some contracts define an order of precedence between documents. The order determines which one prevails in the event of a conflict. The provision is translated with care.

File arrangement

The translation files are named by matching them with the numbers of the target documents. The arrangement makes the links visible. The naming is fixed at the start of the job.

Map of links

In dense files the links between documents may be gathered in a table. The table reveals what is missing. It is given to the client on delivery.

Reference to documents outside the scope

In a file only some documents may have been handed over for translation, and a translated document may refer to an untranslated one. In that case the reader cannot see the other end of the link, and part of the text is left hanging. The limit of the scope is stated explicitly in the delivery letter, so that the gap is not taken for a translation error.

Delivery check

All cross-references are listed and matched with their targets. Links with no counterpart are reported separately. The check is not skipped.
